The Power Tracking Metrics and Automation in Your Business

Have you ever wondered how some businesses seem to skyrocket while others struggle to keep up? Well, in a fun chat on our podcast, HVAC Success Secrets: Revealed, our guest Uzair Ahmed from Cottonwood Automation shared some super smart tips about the power of tracking the right things and creating processes of automation in your business.

Start paying attention to metrics immediately.

Uzair told us that paying close attention to certain metrics – like how many people are interested in what you’re selling or how many customers actually buy – can make a huge difference. He said, “It’s all about focusing on metrics that can be controlled, like conversion rates and follow-up actions.” So, if you own a business, you might want to start counting how many folks are checking out your products, how many are buying, and how you can get them coming back for more.

Now, if you’re saying, “But I’m super busy; I can’t track everything!” don’t worry. Thaddeus loves the idea of keeping it simple, using things like Excel spreadsheets to monitor important stuff every day. And Evan agrees that waiting for some fancy system to track your work isn’t needed. “Start paying attention to metrics immediately.”

In business, faster is often better. Thaddeus and Evan both talk about how getting things done is way cooler than trying to make things perfect. Because when you move quickly, your business grows quickly! Thaddeus’ favorite mantra is “Done is better than perfect.”

The best businesses are like well-oiled machines. They use cool software to ensure that everyone works smart, not just hard. Uzair sheds light on a simple yet transformative approach to achieving this through automation. He suggests, “One of the big things that I like to do for a business is install Slack. Get everyone on Slack, stop sending text messages, and then connect your CRM with Slack so that when jobs are posted, or things that need reminders and all that stuff show up on Slack, everyone knows what’s going on.”

This approach speaks volumes about making automation a core part of your company’s process and DNA. Integrating tools like Slack with your Customer Relationship Management (CRM) system creates a centralized hub for communication. This eliminates the clutter of traditional text messaging or emails and ensures that crucial updates, from project launches to timeline reminders, are instantly accessible to the entire team.

...you're too busy and no one actually teaches you how to do it.

Uzair also talked about how sending friendly texts and emails can keep your customers happy and coming back for more. But you don’t want to come across as annoying or sales-y.

Some folks dig emails, while others think texts are the bee’s knees. He elaborated, “…the key about marketing is to be different and not look like a marketer in the same way as the key to be a good sales guy is not to come across as a sales guy.”

Speaking of being different, Uzair’s company, Cottonwood Automation, helps businesses become totally awesome partners, not one-hit wonders. He wishes more people would ask him, “What can your company do?” because his company does more than just one thing.

Business owners are often inundated with advice. From an endless sea of coaching options to a towering pile of must-read books, the guidance available can be overwhelming. Yet, amidst this flood of information, a crucial piece is missing—the ‘how’. As many business leaders express, “A lot of business owners, I find, are told what to do. They have all these coaching options. You can read all these books, but you’re too busy and no one actually teaches you how to do it.”

This gap between knowing what to do and understanding how to implement these strategies effectively is where the real challenge lies. It’s one thing to have a roadmap; it’s entirely another to navigate the terrain it describes. This is precisely where a coach’s role becomes pivotal. Unlike others who may stop at offering advice, proper coaches and leaders dive into the trenches with you. “But we’re the ones that come in and actually implement what you should be doing with your business and make sure it becomes successful.”

Before we wrapped up the show, Uzair reminded everyone about using smart processes and automation to make their businesses run like superheroes – effective and efficient.
