Step 1: Embrace the Art of Exceptional Service

Before even considering reviews, ensuring your team consistently delivers top-notch service is essential. Happy customers are more likely to leave positive feedback. Train your team to go above and beyond customer expectations. You get what you tolerate in business so if you do not hold a standard for your team to follow then you cannot expect them to show up well for your customers. You need to stress the importance of punctuality, professionalism, and quality workmanship. 

Generating consistent reviews from your customers requires a consistent level of service from the marketing you put out, to the CSR answering the phone, to the dispatcher confirming the appointment and the technician running the call. All the way through the funnel there needs to be a consistent feeling for the customer that they’ve “finally found the company who can solve my problem.” To deliver this it’s not just about  answering the phone or putting on protective shoe coverings inside their home. It’s about having empathy and concern for their problem. For techs, it’s about having a clean uniform and clean grooming. It’s about saying please and thank you and communicating with your customers throughout the process. It’s teaching your team to think about the level of service they want to receive and going a step further than that. As we’ve heard on our podcast numerous times; treat your customer how you would wish a technician would treat your mother. Taking this approach will ensure your techs will take care and consideration throughout the service call and over deliever on value. 

Step 2: Understand the Value of 5-Star Google Reviews

Why are 5-star reviews so crucial for your home service company? They can significantly boost your online reputation, attracting more customers and increasing your revenue. It is also a ranking factor when it comes to your local SEO. Knowing this, create a spiff or bonus system that motivates your employees to aim for those 5-star reviews. Recognize and reward exceptional performance.

Bonus systems don’t have to be anything extravagant. They can be a simple gift card for a coffee or perhaps a point purchase system. At the end of the day it just makes cents, and dollars, for your company to reward techs for doing a great job. The one suggestion I’d make around this is rewarding technicians for reviews that have their name in them. You’ll see why later in the script. 

Step 3: Monitor Online Review Platforms

Stay vigilant on platforms like Yelp and Google. Understand their review policies and how they affect your business’s online reputation. Consistently address negative reviews professionally, showing potential customers that you care about your clients’ experiences and are committed to making things right.

Respond to your reviews as well, thanking them for giving your business a five-star review. This acknowledges the customer and makes them feel heard, which creates an even better experience for them. Even more important is responding to the negative reviews. Although it can be tempting to justify why their experience was not the greatest for them, it’s usually in your best interest to guard your reputation online and resolve the conflict offline.

Step 4: Encourage Team Engagement

Fostering a culture of excellence within your team is key. Ensure your technicians feel comfortable engaging with customers about reviews. They should genuinely want to provide 5-star service, and this enthusiasm should come across in their interactions.

Asking should come naturally to your technicians, although it usually feels uncomfortable in the beginning. Use role-play scenarios to get your technicians comfortable with the language they should be using with customers and how to ask for a review.

Occasionally spiffs can make sense to reward technicians for generating reviews for the company. 

Step 5: The Art of Asking For Reviews

Alright so your CSR has over delievered, your dispatch set the call and communicated it with the client promptly, your tech arrived on time and showed curtosity and care allthe way through the call without pushing a sale and has left the customer thrilled. We’re now at the point in the call where we’re ready to pack up and leave. And just like in a sales call rarely will a customer jump up and say “YES! I absolutely want to buy that inverter system with all new duct work” without being asked. The same goes for reviews. This is the point in the call where most companies leave the most review opportunities on the table because they just rely on a text follow up to try to generate the review. Instead we need to coach our techs on a very simple script. 

Technician: (After completing the service) “Mrs. Jones, We always strive to provide the best service possible. Were you happy with your service today?” (if no address it now and fix it!)

Customer: “Yes, everything looks great!”

Technician: “I’m really glad to hear that. Our goal is to ensure every customer receives a 5-star experience. In fact one of the ways that I get evaluated as a technician is through our companies google reviews that have my name in them. Do you feel like the level of service we provided was a 5 star experience?”

Customer: (Feeling valued) “Well, everything went smoothly. No complaints at all!”

Technician: “That’s fantastic to hear! It would really help me out if you could leave us a quick review about your experience with us here today, and if you could mention my name in the review I’d really appreciate it! Do you know how to leave a google review or would you like me to show you?”

Customer: (Feeling appreciated, likely to leave a positive review) “Yes I know how, I can do that.”

Technician: “Thank you so much! I’m still going to be cleaning up for a minute if you want to do that now. Here’s a QR code on the back of my card to make it easy for you.” 

From there I like to give some thought joggers for clients regarding some keywords that they can include in the review. 
“Oh Mrs. Jones, if you could mention you had us out to do an AC repair/tune-up/install for your unit that would be great”. You can also ask them if they’d like to include a picture with their review as well. 

Service Should Speak For Itself

Securing 5-star reviews for your home service company is essential for your company however a script like this is not meant to sell people on why they should leave you a review. At the end of the day, these reviews are important to your bottom line as a company and you should treat them as such by trying to obtain as many as you ethically can. I do believe that most customers intend to leave us a review, unfortunately life happens and distracts us. By simply asking while we’re still on the call and by providing exceptional service and fostering genuine connections, you’ll be well on your way to building a stellar online reputation that attracts new customers and ensures the long-term success of your business.
